Terms and Conditions<\/h2><\/div><\/div>\n\n

By registering for the TSD Conference & Trade Show, the registrant enters into an agreement with the organizers and agrees to comply with the event\u2019s Terms and Conditions. This agreement covers important policies related to attendance, behavior, cancellations, data usage, and more. It is recommended that registrants review these terms carefully before completing registration.<\/span><\/p>\n<\/div><\/div>\n\n

1. Access & Participation<\/b><\/span><\/p>\n

Event Decorum & Code of Conduct<\/b><\/span>
The TSD Conference & Trade Show is a professional event intended to foster learning, networking, and collaboration within the student transportation industry. All attendees, speakers, exhibitors, vendors, and staff are expected to:<\/span><\/p>\n

\u2022 Conduct themselves in a professional, respectful, and courteous manner
\u2022 Use appropriate language and refrain from harassment, discrimination, or disruptive behavior
\u2022 Dress in business or business-casual attire unless otherwise noted
\u2022 Limit disruptions during sessions by arriving on time and silencing devices
\u2022 Refrain from excessive drinking or inappropriate conduct at receptions or social events
\u2022 Treat all participants with consideration, regardless of background, role, or company<\/span><\/p>\n

This policy applies to all in-person, virtual, and app-based interactions. STN reserves the right to remove or ban any individual from current or future events without refund for inappropriate conduct.<\/span><\/p>\n

Entry & Restrictions<\/b>
Conference badges serve as valid credentials for accessing specific events based on each registrant\u2019s registration type. All attendees are required to wear their badges at all times to access STN-hosted events, including but not limited to keynotes, workshops, receptions, social events, and the trade show.<\/span><\/p>\n

Conference Badge & Lead Scanning<\/b>
STN uses third-party badge scanning technology for session tracking and contact tracing. Attendees must present badges to gain entry. Exhibitors may request to scan badges to collect contact details; participation in lead scanning is voluntary.<\/span><\/p>\n

TSD Conference Mobile App<\/b>
By registering, the registrant consents to be listed in the TSD Conference mobile app, which will be available to attendees, exhibitors, and staff for 90 days. The app may include the registrant\u2019s name, company, title, and contact information. An option to opt out of the attendee list within the app is available once logged in.<\/span><\/p>\n

Personal Data Collection<\/b>
During registration, personal information such as name, email, phone number, mailing address, job title, and IP address may be collected. STN may share this information with event sponsors, exhibitors, speakers, and the official hotel to verify bookings and improve the event experience. A list of registered attendees will be published in the mobile app.<\/span><\/p>\n

Accessibility and Special Needs<\/b>
Attendees requiring accommodations due to a disability or medical\/religious dietary restriction should contact STN prior to the event. STN will make reasonable efforts to accommodate essential requests submitted in advance, though not all requests may be fulfilled.<\/span><\/p>\n

Guest Registrations and Minor Attendance Policy<\/b>
Guest registrations are intended for spouses and non-transportation professionals accompanying Main Conference Attendees. Such guests may attend the conference\u2019s social events and trade show but must purchase a guest pass. Family members may not accompany registered guests unless a guest pass is purchased.<\/span><\/p>\n

Attendees under 18 must be accompanied by a registered adult, must have a guest pass, and may be restricted from specific areas such as the trade show floor and other social gatherings where alcohol is served unless pre-approved in writing.<\/span><\/p>\n<\/div>\n<\/div>\n<\/div><\/div>\n\n

2. Registration & Payment<\/strong><\/p>\n

Pricing Policies & Payment Options<\/strong>
Online prices and offers are subject to change. Payment may be made via major U.S. credit cards or purchase orders. All payments are due within 30 days after the conference concludes.<\/p>\n

Non-Refundable Registration Service Fee<\/strong>
Each registration includes a non-refundable administrative processing fee, regardless of payment method.
<\/strong><\/p>\n

Sales Tax Policy<\/strong>
STN Media collects and remits sales tax as required by law.<\/p>\n

Order Policies<\/strong>
\u2022 Validation: STN Media reserves the right to reject any order and limit quantities.
\u2022 Acceptance: A confirmation email does not guarantee order acceptance.
\u2022 Limitations: STN may limit or cancel orders by person, household, or billing address\/credit card.<\/p>\n

No Solicitation Policy<\/strong>
Only registered exhibitors and sponsors may promote or sell products\/services at STN events. Unauthorized solicitation is strictly prohibited and may result in removal without refund and restriction from future events.<\/p>\n<\/div><\/div>\n\n

3. Health, Safety & Liability<\/strong>

Event Safety Guidelines
STN will follow all applicable government and health authority guidelines. All attendees must comply with local or state safety regulations in effect at the event.<\/p>\n

Assumption of Risk<\/strong>
By registering, the registrant acknowledges inherent risks associated with public gatherings, including potential exposure to illnesses such as COVID-19. STN shall not be held liable for any health-related issues arising from event attendance.<\/p>\n

Waiver of Liability<\/strong>
Registrants release STN and its affiliates from liability for illness, personal injury, property loss, or participation in activities including product demos or ride-and-drive events. Separate waivers may be required for specific activities.<\/p>\n

Attendance constitutes a waiver of the right to sue for such damages.<\/strong>
Lost or Damaged Property
STN is not responsible for lost, stolen, or damaged personal items. Registrants are advised to take appropriate precautions.<\/p>\n

Alcohol Consumption Policy<\/strong>
Alcohol may be served at designated events. Attendees are expected to drink responsibly. STN reserves the right to deny service and remove any individual exhibiting disruptive behavior.<\/p>\n<\/div><\/div>\n\n

4. Intellectual Property & Media<\/strong>

Photography & Media Release<\/strong>
Participation in STN events constitutes consent to allow STN Media and its affiliates to use the registrant\u2019s image, voice, or likeness in promotional, editorial, or educational materials in any media format. This permission is perpetual and without compensation. STN cannot guarantee privacy in public spaces but will make reasonable efforts to honor requests for limited exposure if communicated in advance.<\/p>\n

Intellectual Property & Content Usage<\/strong>
All event materials\u2014including session content, slides, recordings, and presenter content\u2014are the property of STN Media and\/or individual speakers. Unauthorized recording, duplication, or distribution is prohibited without prior written consent.<\/p>\n<\/div><\/div>\n\n

5. Legal Notices<\/strong>

Event Postponement\/Cancellation<\/strong>
If STN postpones or cancels the event, refunds will not be issued. However, registrants may request to transfer their paid registration to a future STN-hosted event.

Force Majeure<\/strong>
STN shall not be held liable for failure to perform due to circumstances beyond its control, including but not limited to natural disasters, strikes, war, terrorism, pandemics, or government actions.

Updates to Terms<\/strong>
STN reserves the right to modify these Terms & Conditions at any time without notice. It is the registrant\u2019s responsibility to review the latest version available on the event website.
